Summary: Essential Duties and Responsibilities include the following – of note, as a young start up, other duties will be assigned.

The Administrative Manager is accountable for coordination and support to the various business functions and programs of Ms.Medicine, including the Physician Executive Group (PEG), Ms.MedEd Program, Provider Alliance, and Board of Directors as well as other administrative functions. This requires a strategic approach that includes large scale project and logistical management well as orientation to detail. This candidate will need to have excellent communication and organizational skills.

The Administrative Manager’s key responsibilities include but are not limited to:

  • Assist leadership in the coordination of PEG and Ms.MedEd divisions
  • Management of the daily administrative support functions
  • Assists leadership with special projects and assignments
  • Provides support for maintaining calendars, coordinating meetings, coordinating travel
  • Supports, interprets and enforces Ms.Medicine policies and procedures
  • Provides oversight for the organization of files and records, the inventory of office supplies, and the processing of requisitions
  • Assists in monitoring budget expenditures
  • Creates applicable reports
  • Researches information for major purchases

Job Competencies:

  • Proven track record in large scale project management/administrative duties
  • Physician relations experience
  • Extensive knowledge of our business, industry and competitive landscape
  • Ability to reach and relate to all levels within a prospective partner organization
  • Effective communication and presentation skills
  • Excellent communicator (oral and written). Ability to tailor the style and content of communication to gain maximum impact with audience
  • Works collaboratively with others to drive results
  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint)

Travel: Travel of approximately 10% required

Education and/or Experience: Bachelor’s degree (B.A. or B.S.) from four-year college or university or equivalent in experience preferred. Five or more years related project management and administrative experience required.

Language Skills: Ability to read and interpret documents such as regulatory documents, basic legal contracts, and operating and maintenance instructions. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of an organization.

Financial Skills: Basic accounting skills required. Assists with fiscal responsibilities of the department as requested. Monitors budget expenditures; identifies and researches variances/problems. Assists in tracking and monitoring revenue, expense, and allocations. Provides applicable reports. Researches information for major purchases. May assist with annual budget preparation.

Computer Skills: To perform this job successfully, an individual should have experience in Microsoft Outlook, Word, and Excel. Typing skills should be a minimum of 55 wpm.
